The Accreditation and Programs Administratoris responsible for the day-to-day administration of Simulation Canada’s programs, with a primary focus on our national accreditation program. Secondary responsibilities include supporting our education activities—including online courses and live sessions—and potentially support for our annual conference.

Simulation Canada is a small team; flexibility and adaptability are essential. Team members frequently
support each other across different programs, and responsibilities can shift depending on organizational needs. The person in this role may occasionally be asked to assist with other activities, and the role may evolve over time as our programs grow and change.

This is an administrative and operational role—not a leadership or decision-making position—but it requires maturity, professionalism, excellent organizational ability, attention to detail, and strong communication skills. The ideal candidate is detail-oriented, thrives in structured processes, enjoys helping people navigate systems/processes, and takes pride in accuracy, follow-through, and excellent service.

This position reports to the President & CEO, and collaborates closely with the Director of Education and the Director of Operations and Events to address key departmental priorities.

  • Monitor incoming accreditation applications and track progress through each stage
  • Review applications for completeness (not content evaluation)
  • Track deadlines, external reviewer assignments, reviewer feedback, and applicant responses
  • Maintain accurate internal records of each application’s status
  • Coordinate accreditation committee meetings, including scheduling, preparing materials, distributing documents, and recording minutes
  • Communicate with applicants professionally and promptly, providing clear guidance and excellent
    customer service
  • Prepare agreements with reviewers (based on templates) and track responses
  • Maintain policies and procedure guides related to the accreditation program
  • Collect evaluations and feedback on the accreditation program and recommend improvements
  • Improve documentation to align with Simulation Canada branding and communication standards
  • Maintain confidentiality of sensitive information throughout the process
  • Plan and support live and online education sessions, including setup, in-session support, and postsession debrief
  • Coordinate and provide support to faculty, including meeting scheduling and tracking contract
    completion
  • Coordinate communications with course participants (pre-course, registration, post-course,
    troubleshooting) and respond to general education inquiries.
  • Maintain our Learning Management System (LMS), including course cloning and updating, participant enrolment, learning material preparation, user management, and creating worksheets and guides.
  • Prepare contracts for faculty (based on templates) and track responses and coordinate payments
  • Update our website and our internal database with course information and offerings
  • Distribute course evaluation surveys and collect data; distribute certificates of completion
  • Provide general logistical and administrative assistance as required
  • Attend the conference to provide on-site support
  • Assist with basic drafting of newsletter content and operational communications
  • Prepare, maintain and schedule marketing communications
  • Support routine website updates (WordPress)
  • Assist with posting and maintaining basic social media content (focus on LinkedIn)
  • College or university certificate/degree diploma in a business-related discipline (administration, project management, etc.), event management, technology, or healthcare
  • Minimum 3 years of experience in a similar role requiring administration or event/activity coordination
  • Strong organizational and time-management skills, with proven ability to prioritize, manage multiple
    tasks and deadlines, and adapt to changing circumstances
  • Excellent written and verbal communication skills (English required)
  • Strong customer-service orientation and comfort communicating with professionals
  • High attention to detail, accuracy, and consistency in process execution
  • Ability to handle confidential information with professionalism
  • Experience with the Microsoft Office suite (especially Word and Excel)
  • Comfortable working independently and remotely, with proven ability to self-manage time and
    initiative in a remote work environment
  • Work with a small team
  • Quick learner, especially for new processes and technology platforms
  • Must reside in Canada
  • Bilingual (English and French)
  • Experience with:
    • Website content updates (especially on WordPress sites)
    • Airtable or other database tools
    • Learning Management Systems
    • Creating and supporting webconferences (e.g. Zoom, MS Teams)
    • Slack
    • MailChimp or other email marketing platforms
  • Experience supporting programs, education administration, association operations, or accreditation
    processes
  • Experience in healthcare or education environments is an asset but not required
  • Remote position (within Canada)
  • Flexible work hours, though some availability during regular office hours is required
  • Occasional travel may be required (e.g., for annual conference)
  • 37.5-hour work week
